AttendView QuickBooks Sync
What is AttendView QuickBooks Sync?
AttendView QuickBooks Sync was developed to bridge the gap between
AttendView and Quickbooks. If you are an existing QuickBooks user
and loading AttendView for the first time, AttendView QuickBooks Sync
will import all your employees. From there or if your an existing
AttendView user you can use AttendView QuickBooks Sync to export your
clock data directly to QuickBooks. There is no longer a need to
manually print up reports and manually enter the data into
QuickBooks. Simply folow the usage guide below...
Where to Start?
- Ensure that you have the prerequistes listed below.
- Download the current verision listed below.

Prerequisites
- AttendView 4.0 or greater (Has not been tested on earlier
versions, but may work)
- Qucikbooks (SimpleStart is currently not supported)
- Dot Net 3.5 (Can be downloaded from Microsoft.
If you are not sure if you have Dot Net 3.5, the application installer
will check and notify you if you don't)

New AttendView User Existing QB User
- Install AttendView
- Create new database
- Restart AttendView service


- Login to AttendView Tools

- Click Setup > Jobs

- Change "Default" to match your default QuickBooks Payroll
item.
Salary in this example
- Change Sick, Vacation, and Holiday to match the other
QuickBooks
payroll items.


- Double Click the "Install AVQBSync" icon

- Install .Net if Prompted . If not continue on step 12

- Restart the computer
- Double Click the "Install AVQBSync" icon

- Choose everyone if you would like all users to be able to
use

- Click Next through the installer
- Click close to finish the installer

First Usage
-
Open QuickBooks
- Double Click the desktop icon “AttendView QuickBooks Sync”

- Choose no when prompted “Do you
have AttendView data in your QuickBooks company file?”

- Choose yes to allow AVQBSync access when prompted. If you
have a
multiuser setup, choose an administrator in the login box.
- Click Continue

- Click yes when warned about the digital certificate

- Click done to confirm access

- Confirm that the QuickBooks company is correct
- Confirm that the AttendView database is correct
- Click import to copy your employees from QuickBooks to
AttendView

- Confirm that all employees copied over by one of the
following
- The number of employees will match

- Employees tab in AtendView QuickBooks Sync application

- AttendView Clock

- Login to AttendView Tools > Click Setup > Click
Employees

- Export tab

- Verify that your payroll items matched
- Payroll Items tab in AtendView QuickBooks Sync application

- Export tab

- Verify the “Ready to Export” is checked on the export tab

- Continue to the Usage

- Choose yes when

- Select the time and date you last added AttendView clock
data to QuickBooks
- Click "Apply Date"

- You will be prompted once applying the time and date has
completed

- Choose yes to allow AVQBSync access when prompted. If you
have a multiuser setup, choose an administrator in the login box.
- Click Continue

- Click yes when warned about the digital certificate

- Click done to confirm access

- Confirm that the QuickBooks company is correct
- Confirm that the AttendView database is correct
- Click import to copy your employees from QuickBooks to
AttendView

- Confirm that all employees copied over by one of the
following
- The number of employees will match

- Employees tab in AtendView QuickBooks Sync application

- AttendView Clock

- Login to AttendView Tools > Click Setup > Click

Usage
- Open QuickBooks
- Double Click the desktop icon “AttendView QuickBooks Sync”

- Confirm that the QuickBooks company is correct
- Confirm that the AttendView database is correct

- Click the Export Tab
- Verify the “Ready to Export” is checked
- Click Export

- When export is complete, the export history will show the
date of last export.
- You can verify the export by using the QuickBooks “Weekly
TimeSheet” tool.

Notes
- Everything is case sensitive. "Salary" <> "salary"
- Names must match exactly "Joe P Smith" <> "Joe P.
Smith"
- If you don't know your payroll items go to:
- Reports > List > Payroll Item Listing in QB
(Double click to edit)
- While editing Jobs, user may want to add description and
decide if they show up in the clock
- During install user may be prompted to close QuickBooks. if
so, close QB, click retry.
- “AVID” stands for “AttendView Index” and is the same as the
index value under the clockdata table in the AttendView database. This
value is used to ensure that no duplicates occur. Yo may remove these
notes, but it is recommend they been kept for auditing
Known Issues
- If “Joe Smith” clocks out at 12:10PM and the Export is run
at 12:10PM, Joe's clock entry will not be imported. You will need
to re-click export at 12:11Pm for the clock entry to export.
- AVID is stored in the notes in QuickBooks. This is
the current intended function (see notes above). AVID will be
moved to a custom field in a later version.
